AI & workflow implementation
Turn one recurring task into a process your team can run.
If the same inquiry, document or draft keeps moving between inboxes and tools, start with that task. William A. Holmes Technology & AI Consulting helps define the work and implement an agreed improvement, with human review where it matters.
Choose a task worth improving.
Useful starting points include organising inquiries, collecting missing intake details and preparing repeat drafts from approved information. A rules-based process or an existing feature may be enough; AI is an option to assess.
Know what the first step produces.
A Workflow Action Plan focuses on one task: how it runs today, the effort involved, possible improvements and a short recommendation. It gives you a basis for a build decision without committing you to implementation.
- Map the inputs, tools, people and handoffs.
- Identify review points, exceptions and information that must stay out.
- Agree a useful next step and what it would need to deliver.
Build to an agreed scope.
A One Workflow Setup follows a feasibility check. The proposal names the tools, inputs, result, review steps and completion checks. Additional workflows, migration, sensitive information or complex integrations need their own scope.
- Try agreed ordinary and exception examples.
- Keep customer-facing drafts for a person to check before sending.
- Document the manual route when the workflow needs attention.
Leave with a clear handover.
The agreed handover covers operating notes, a review checklist and a walkthrough for the people using the workflow. Support and future changes are defined separately, so you know what is included.
Questions before you start
What if AI is not the right answer?
The recommendation may be a simpler process, a template or a feature in a tool you already use. A useful assessment does not have to lead to an AI build.
Can you promise a particular saving?
No saving is assumed. Agree what to observe before the change, then compare handling time, editing and exceptions using comparable examples.
Will it send replies automatically?
The starting workflow described here keeps a person responsible for reviewing customer-facing drafts. Any live action requires an explicitly agreed and tested scope.
Which task would you start with?
Describe the work, the tools involved and where it gets stuck. Leave passwords and confidential customer information out of your inquiry.
